Monthly plans: cancel anytime, no refund of the current month — keep service until the end of the period. Annual plans: prorated refund if we breach or you cancel within EU/UK cooling-off. Enterprise: governed by the Order Form. SLA credits are automatic.
- Cancel from Settings → Billing at any time.
- Monthly plans: no refund for the current month; service runs until the period ends.
- Annual plans: refund if Mailapp materially breached, or per statutory cooling-off.
- Enterprise plans: per the Order Form. Usually no refund of prepaid Fees, except for Mailapp's material breach.
- SLA misses generate service credits automatically — no need to ask.
Scope
This policy applies to every paid Mailapp subscription, add-on, and Enterprise Order Form.
This Refund & Cancellation Policy applies to all paid Mailapp subscriptions, add-ons, and Enterprise Order Forms. Free plans have nothing to refund; cancellation simply ends the free plan. Order Forms may contain additional or different terms; in case of conflict, the Order Form controls.
How to cancel
Self-serve from Settings. For Enterprise, write to your CSM or legal.
- Self-serve plans: open Settings → Billing → Cancel subscription. The cancellation is immediate; access continues to the end of the prepaid period.
- Annual plans: the same self-serve flow, with auto-renewal disabled.
- Enterprise plans: email your Customer Success Manager or hello@mailapp.app at least 30 days before the renewal date stated on the Order Form.
- Cancellation does not require justification. We may ask why for product feedback; you don't have to answer.
When we refund
A short list of situations where you get money back without negotiation.
Consumer cooling-off rights
If you signed up as a consumer in the EU, UK, EEA, or another region with statutory cooling-off, you can cancel within 14 days of subscribing and get a full refund — unless you asked us to start delivering immediately.
If you signed up as a consumer (a natural person acting outside the scope of a trade, business, craft, or profession) in the EU/EEA, UK, or another jurisdiction with a statutory cooling-off period, you have the right to withdraw from the subscription within 14 days of the start of the contract without giving any reason. To exercise this right, email hello@mailapp.app with a clear statement of withdrawal. We will refund all payments within 14 days of receiving your notice.
Important exception: if you expressly asked us to begin delivery of the Services during the cooling-off period, you may be required to pay for the value of the Services received up to the point of cancellation.
Downgrades, overages, and add-ons
Downgrades take effect next period. Overages are billed in arrears and aren't refundable once incurred. Add-ons cancel like the base plan.
- Downgrades apply at the start of the next billing period.
- Overages are billed in arrears at the rate in the price list at the time of consumption. Once incurred, overages are not refundable.
- Annual upgrades are prorated against the remaining term of the current annual plan.
- Add-ons (e.g., dedicated IPs, additional regions) follow the same cancellation rules as the base subscription.
SLA service credits
If we miss the uptime guarantee, we credit you automatically. No tickets. No negotiation.
Service credits are calculated and applied automatically against the next month's invoice when monthly uptime drops below the committed threshold (see Terms § 21). Credits are your sole and exclusive remedy for SLA misses but do not affect any other rights.
Chargebacks
Talk to us before disputing a charge with your bank. Chargebacks pause your account.
If you believe a charge is incorrect, please contact hello@mailapp.app first. We resolve almost every dispute within five business days. Filing a chargeback before contacting us will pause your account pending resolution, and we will respond to the chargeback with billing documentation. Chargebacks ruled in our favour leave the original Fees due and may incur a $50 administrative fee.
Tax refunds
If you can demonstrate a tax exemption (valid VAT/GST ID for B2B intra-EU; reseller certificate; etc.), we'll refund or credit the tax.
If you provide a valid tax exemption certificate, VAT/GST number, or other supporting documentation after you have already been charged tax, we will refund or credit the tax amount in accordance with applicable law. Tax refunds are limited to the statute of limitations in your jurisdiction (typically 3–4 years).
What happens to your data after cancellation
You have 30 days to export, then we delete. Some legally-required records are retained — see the Privacy Policy.
For 30 days following cancellation or termination, you may export your Customer Data via the standard export tools or by request to hello@mailapp.app. After 30 days, we delete Customer Data using cryptographic erasure and zeroisation, except for records we must retain by law (e.g., billing for 7 years). See Privacy Policy § 9.
